The Simplest Way To Add Tags in Notion

Tagging in Notion with Multi-select property

The method I describe here is the basic tagging method in Notion. It has its pros and cons. With this method you are forced to use a database to store your pages. So, let’s dive in to understand if this method could serve your needs.

1. Create a database to store your pages to be tagged

First of all you will need a database to store your tagged pages in it. To create a database type “/database” on a new line and choose “Database — Inline”. You will see an empty database with two columns — one for page name, another for tags.

I created a database for knowledge base as an example. In addition to the default Name and Tags columns I have a column for a link (URL).

And actually you are all set at this point as Tags column already exists from scratch. If for some reason you do not have it, you can add it by yourself. Click “+” sign on the right from the last column and choose Multi-select property to be created, then rename it to Tags.

To add a tag to Tags column, type a tag name in any Tags cell and hit Enter. Once you add a new tag, it is added to the dropdown menu of tags and you can use it for other records.

2. Search by tag(s)

Search is easy here. Just configure the filter to only show records which include a necessary tag (or several tags). And you will see the list of necessary records.

If you use some search quite often it makes sense to create a separate view with necessary filters configuration. Thus you you will avoid necessity to reconfigure the filter of your main view:

3. Tags hierarchy

With this tagging method you are limited to only have one level of tags. Optionally you can add another Multi-select column for another level of tags but anyway you will have to assign it manually for every record in the database.

To wrap up lets see pros and cons of tagging with Multi-select property:

Pros:

  • Adding tags is quite easy
  • Search by multiple tags is available

Cons:

  • Tags added to “Tags” property are not available beyond this database
  • Tags hierarchy is not available

There are other tagging methods in Notion which are a bit more complicated but allow to tag pages within several databases as long as standalone pages. Soon I will share how to do it. Stay tuned:)
